Bookkeeping is the chore most small business owners put off until tax season, and then pay for in stress and accountant fees. AI bookkeeping software changes the routine: bank transactions come in automatically, get sorted into the right categories, receipts are read from a photo, and late invoices chase themselves. You still review the books, but you stop typing them.
This guide compares the main options for US small businesses and freelancers in 2026, with approximate prices and what the “AI” in each one actually does.
AI Bookkeeping Software at a Glance
| Software | Approx. price | AI and automation | Best for |
|---|---|---|---|
| QuickBooks Online | ~$38/mo (Simple Start) to ~$275/mo (Advanced); Solopreneur ~$20/mo | Intuit Assist: invoice drafting, transaction categorization, cash-flow alerts | Most small businesses; the one your accountant probably knows |
| Xero | $27/mo (Early) to $97/mo (Established) | JAX AI assistant, AI document capture, auto-reconcile (Growing and up) | Teams that want unlimited users |
| Wave | Free (Starter); Pro $19/mo or $190/yr | Automatic bank import and categorization on Pro (no AI assistant) | Freelancers and very small businesses on a tight budget |
| Wave Advisors | From ~$149/mo | A human bookkeeper on top of the software | Owners who want it done for them |
Prices are list prices without promotions and change often; QuickBooks and Xero both run introductory discounts. Sources are at the end of the article.
What “AI Bookkeeping” Actually Means
Marketing pages use “AI” loosely. In practice, the features that save time fall into four groups:
- Bank feeds and auto-categorization. Transactions import from your bank, and the software learns that “HOME DEPOT #4521” is materials and “SHELL OIL” is fuel. This is the single biggest time saver.
- Receipt and bill capture. Snap a photo or forward an email, and the vendor, date, and amount are read automatically and matched to the bank transaction.
- Auto-reconciliation. The software matches bank lines to invoices and bills, so month-end reconciliation becomes a quick review.
- AI assistants. Newer features like Intuit Assist and Xero’s JAX answer questions in plain English (“how much did I spend on fuel last quarter?”), draft invoices, and flag cash-flow problems.
The Options in Detail
QuickBooks Online: the safe default
QuickBooks Online is the most common accounting software among US small businesses, and most accountants and bookkeepers know it well. 2026 list prices are about $38 a month for Simple Start, $75 for Essentials, $115 for Plus, and $275 for Advanced, with a Solopreneur plan around $20. Intuit Assist, its AI layer, drafts invoices, categorizes transactions, and alerts you to cash-flow issues. The downside is cost: Intuit has raised prices repeatedly, and payroll and payments add up. Plus is the minimum tier for inventory tracking.
Xero: unlimited users, clean interface
Xero’s US plans cost $27 a month (Early), $59 (Growing), and $97 (Established) after a three-month introductory discount. The Early plan limits you to 20 invoices and quotes a month, so most active businesses need Growing. Xero includes AI document capture on every plan and auto-reconciliation from Growing up, and it promotes JAX as its AI finance assistant. It allows unlimited users, which makes it attractive when several people need access. Payroll is an add-on powered by Gusto ($36 a month plus $6 per person).
Wave: the free option
Wave’s Starter plan is free and covers unlimited invoices, estimates, bills, and bookkeeping records. The Pro plan ($19 a month or $190 a year) adds automatic bank imports, automatic categorization, late-payment reminders, and multiple users. Wave doesn’t advertise an AI assistant, but for a freelancer or a one-person business, its automation covers most of what you need. If you’d rather not do the books at all, Wave Advisors adds a dedicated human bookkeeper starting around $149 a month.
How to Choose
- Freelancer or side business, low volume: Wave Starter (free) or Wave Pro.
- Small business that works with an outside accountant: ask your accountant first. Most will say QuickBooks Online, and using what they know saves you money at tax time.
- Several people need access: Xero Growing, since users are unlimited.
- You sell physical products with inventory: QuickBooks Plus or Xero with inventory features.
- You never want to touch the books: a software plan plus a human bookkeeper, such as Wave Advisors.
Connect Bookkeeping to the Rest of Your Business
Bookkeeping saves the most time when invoices flow into it automatically. Field-service apps like Jobber and Housecall Pro sync with QuickBooks Online on their mid-tier plans; see Jobber vs Housecall Pro for the details. For apps without a built-in sync, a tool like Zapier or Make can push paid invoices or new expenses into your accounting software. Our Zapier vs Make comparison explains which one to use.
What AI Still Can’t Do for You
- Tax decisions. Whether something is deductible, how to structure owner pay, or when to elect S-corp status are questions for a CPA.
- Fixing wrong categories on its own. Auto-categorization learns from you. If you accept wrong suggestions for months, the errors pile up. Review weekly.
- Catching personal expenses. If you mix personal and business spending on one card, no software can sort it reliably. Open a separate business account.
Frequently Asked Questions
Can AI replace my bookkeeper?
For a simple business with few transactions, AI-assisted software can handle most day-to-day bookkeeping if you review it weekly. Growing businesses with payroll, inventory, or sales tax in several states still benefit from a human bookkeeper or accountant reviewing the books.
What is the cheapest bookkeeping software for a small business?
Wave’s Starter plan is free and covers invoicing and basic bookkeeping. Its Pro plan, at $19 a month, adds automatic bank imports and categorization. QuickBooks’ Solopreneur plan (about $20 a month) is another low-cost option for one-person businesses.
Is QuickBooks or Xero better?
QuickBooks is more widely used in the US, so it’s easier to find an accountant who knows it. Xero includes unlimited users and is often cheaper once several people need access. Both have AI features for categorization and document capture.
Is it safe to connect my bank account?
Major accounting platforms use read-only bank connections through providers like Plaid, so the software can see transactions but not move money. Turn on two-factor authentication for your accounting login.
